Listing & promotion standards

Shop Madeira is an independent neighborhood platform. It is hosted by a small team of neighbors and is not operated, funded, or endorsed by the City of Madeira or by any civic organization. Shops and community organizations in 45243 take part as members, on the same terms, and the host runs no promotions of its own.
Because the host takes no side, every decision it makes about a member has to be one a stranger could check. This page is the whole list. If a listing or a promotion is approved, declined, or removed, the reason is one written here, it is recorded in a log kept for the life of the program, and it is emailed to the member.
Who can be listed
- A business or a community organization with an address inside Madeira, Ohio (ZIP 45243). A community organization is a nonprofit, civic, religious, school, or neighborhood group; it is listed under its own category and treated exactly like a shop.
- One listing per place. A second location is a second listing.
- The name, category, and description describe what the place is. A listing is not an advertisement for something else.
Being listed is free. There is no listing fee, promotion fee, or per-stamp charge for any member inside 45243.
How a listing claim is approved
Claiming a listing gives you the portal for it. The only question we answer is whether you can speak for the place: we text a code to the phone number on the listing, or verify you another way the Merchant Agreement lists. If the code matches, the claim is approved. We do not judge whether a business is good, whether an organization is worthy, or whether we agree with it.
A claim can be declined for one of these reasons, and the decline email says which: the name on the claim does not match the records for the place; the place has closed; the place is not in Madeira; someone else already verified the same listing; ownership could not be verified by any accepted method; or something not on this list, explained in the reviewer’s own words.
How a promotion is approved
A promotion is a perk you offer neighbors through your listing. A reviewer checks it against this list and nothing else:
- It says plainly what a neighbor gets and what it takes to get it.
- It states its dates, limits, and exclusions.
- It does not put a dollar value on stamps.
- You can honor it for the dates you picked.
- It is not a duplicate of one already running for the same listing.
- It does not break the program rules below.
If every line holds, it is approved. We review new promotions within 24 hours. We do not limit how many promotions a member runs, and we do not favor one member’s promotion over another’s.
Every reason a promotion can be declined
These are the only reasons a reviewer can choose. Each one arrives with a note in the reviewer’s own words and a link to write a new promotion.
- The wording is misleading. Say plainly what a neighbor gets and what it takes to get it. No "up to", no asterisks that undo the headline.
- The fine print is missing. State the dates, any daily or per-person limit, and anything excluded.
- It puts a dollar value on stamps. Stamps are a count, not money, until the program says otherwise. Describe the perk (a coffee, a class, a tote), not a dollar figure.
- It cannot be honored as written. Match the offer to what you can actually hand over for the dates you picked, and set a cap if you need one.
- It duplicates a promotion already running for the same listing. Edit the one that exists, or end it first.
- It breaks the program rules. See "The program rules" below. The decline email names the rule.
- Something not on this list. The decline email explains it in the reviewer’s own words. If a reason keeps coming up under "other", it gets added to this list.
The program rules
A listing or a promotion is removed, and a member may be suspended, only for one of these:
- Content that is unlawful, that discriminates against neighbors on a basis Ohio or federal law protects, or that targets a specific person.
- Deceiving neighbors or the program: a perk that is not honored at the counter, check-ins for visits that did not happen, or a claim made by someone who does not speak for the place.
- Using the program to pull neighbors off it, to harvest their contact details, or to sell data the Privacy Policy says is never sold.
- Anything the Terms of Service acceptable-use section already forbids.
Nothing on this list is about who a member is, what they sell, or what they stand for. Members disagree with each other; the platform does not pick between them.
Featured placement
A few listings appear on the homepage as featured. While that is chosen by hand, the rule is first come, first featured: we feature only members who have asked, in the order they asked, and we rotate so no one stays at the top. Ask by email.
What the host never does
- Run a promotion, event, or perk of its own.
- Charge a member inside 45243.
- Rank, hide, or feature a member for any reason not written on this page.
- Give any organization a role in approving or removing another member’s content.
- Share one member’s data with another.
If you disagree with a decision
Reply to the decline email, or write to support@shop-madeira.com. We answer within one business day, say which line of this page applied, and say what would make it approvable. If we got it wrong, we say so and reverse it; the reversal is logged next to the original decision.
Changes to this page
When a rule here changes, the change is dated at the top and applies only to decisions made after it. A member is never held to a rule that was not published when they acted.
